About the role:

The Talent Acquisition Co-ordinator plays a key role in supporting the organisation’s recruitment and onboarding activities. This role ensures the effective running of an efficient, professional, and inclusive recruitment process that attracts high-quality candidates aligned with the organisation’s mission and principles.

The postholder will be based in London, working closely with the Talent Acquisition Managers and HR operations to coordinate recruitment campaigns, liaising with hiring managers, managing candidate communications, supporting onboarding processes, and preparing new starter documentation.


About you:

Responsibilities include:

  • Coordinating the end-to-end recruitment processes for multiple roles across the organisation, including Industrial placement appointments
  • Being the systems administrator for the Applicant Tracking System (ATS) and maintain accurate recruitment records
  • Managing and triaging the recruitment inbox, managing any queries that do not require escalating
  • Supporting with the implementation of a new Applicant Tracking System (ATS) 
  • Scheduling interviews and coordinating logistics between candidates, Talent Acquisition Managers and hiring panels
  • Ensuring candidates receive timely communication and a positive recruitment experience
  • Preparing interview packs, documentation, and evaluation templates as required
  • Managing logistics for on-site interviews, preparing meeting rooms and taking the right to work checks
  • Preparing and sending offers to successful candidates via Docusign
  • Coordinating pre-employment checks such as references, right-to-work checks, and background screening, working with our third-party provider, Zinc
  • Coordinating onboarding processes for new hires, ensuring contracts, documentation, and onboarding materials are completed and issued in a timely manner
  • Liaising with line managers to ensure smooth induction arrangements
  • Maintaining recruitment metrics and working with the HR Data Analyst to prepare recruitment reports for HR leadership on a monthly and quarterly basis
  • Providing guidance on recruitment processes and organisational policies where required
  • Supporting the compliance of recruitment practices in line with organisational policies and relevant employment legislation, data protection and retention regulations
  • Supporting initiatives to improve recruitment processes, diversity, candidate experience and reasonable adjustments
  • Being the point of contact for all admin related issues for the Talent Acquisition Team
  • Providing ad-hoc general administrative support to the wider People Team, including HR Operations and the Centre of Excellence as and when required


Essential experience required: 

  • Previous experience of working in a fast paced, delivery focussed in-house talent acquisition team 
  • Strong organisational and administrative skills with the ability to manage multiple tasks simultaneously
  • Experience of working at all stages of the end-to end recruitment process
  • Excellent communication and interpersonal skills
  • Extensive experience of scheduling interviews and coordinating recruitment logistics
  • High attention to detail and ability to maintain confidential information
  • Proficiency with Microsoft Office, Applicant Tracking Systems and HRIS
  • Proficiency with SharePoint and Docusign
  • Commitment to providing an inclusive and exceptional candidate and hiring manager experience


Desirable:

  • Experience of working in Life Sciences, Pharmaceuticals, Biotech, charity, or not-for-profit organisation
  • Knowledge of UK employment and recruitment practices
  • Previous experience of having supported the implementation of an Applicant Tracking System (ATS)


Education:

  • Educated to A‑level standard or equivalent, with demonstrable experience in recruitment or HR administration. Relevant vocational qualifications or HR training are an advantage.
