LifeArc Event Space Terms and Conditions

1.1 LifeArc (“we”, “our”, “us”) is a charity registered with the Charity Commission for England and Wales (1015243) and in Scotland (SC037861), and a company limited by guarantee (2698321) with its registered address at 7th Floor, Lynton House, 7–12 Tavistock Square, London WC1H 9LT.

1.2 These terms and conditions apply to registration for and admission to events in the 1^st Floor Events Space at LifeArc (“the Event”) Lynton House 7–12 Tavistock Square, London WC1H 9LT (“the Venue”).

1.3 By registering for and attending the Event, attendees (“you”) confirm that you have read, understood, and agree to comply with these Terms.

2.1. You can contact us by emailing the relevant LifeArc contact responsible for the Event (“the Event Organiser”) (or writing to us at:  LifeArc, Lynton House 7-12 Tavistock Square, London WC1H 9LT. If it is necessary for us to contact you, the Event Organiser will write to you at the email address provided in your registration.

3.1. Your registration will be confirmed by email. If you can no longer attend, please cancel your registration or let us know promptly in writing.

3.2. We reserve the right to admit or decline registration, including cancelling registrations for any reason. If we decline or cancel your registration, the Event Organiser will inform you in writing. You are responsible for registering and notifying the Event Organiser in advance of any special requests, including dietary or accessibility requirements.

4.1 We may amend these Terms or make changes to the Event at any time. If we do so, the Event Organiser will notify you in writing.

4.2 LifeArc is not liable for any failure to meet its obligations due to events beyond its reasonable control (“Force Majeure Events”), such as natural disasters, pandemics, government restrictions, strikes, or technical failures.

5.1 We reserve the right to deny or terminate your participation in the Event if you behave inappropriately, cause offence or risk injury to others, arrive late, attend for purposes unrelated to the Event (including sales, marketing, recruitment, venue investigation or malicious intent), or engage in conduct that may bring LifeArc’s name into disrepute.

5.2 You must comply with all applicable laws, health and safety and environmental regulations, and all LifeArc health, safety and security procedures. Access is limited to approved areas only, and you must comply with all sign-in and security requirements.

6.1 Attendees participate in the Event at their own discretion, and we kindly remind you to take care of your personal belongings, as we cannot accept responsibility for any lost or damaged items.

6.2 We are not liable for any losses (whether direct and indirect) or expenses you may incur in connection with this Event, including any travel expenses, loss of profit, loss of business, business interruption, or loss of business opportunity. We do not exclude or limit in any way our liability to you where it would be unlawful to do so.

7.1 We will use your registration information to facilitate the Event and, where you have consented, to send occasional communications. All personal data will be processed and stored in accordance with applicable Data Protection Laws. We respect your privacy and are committed to protecting your personal data. Our privacy policy (https://www.lifearc.org/publication/privacy-policy/) explains how we collect, use and share information you provide through our website at www.lifearc.org.

8.1 Photography and filming may take place at the Event for LifeArc’s charitable, educational and promotional purposes. By attending, you acknowledge that you may appear in such materials. If you do not wish to be included, please inform us by emailing the Event Organiser and events@lifearc.org or notify us on arrival. We will take reasonable steps to accommodate your request but cannot guarantee this.

8.2 Any personal data collected, including registration details and images or recordings, will be processed in accordance with UK GDPR. Processing is carried out under Article 6(1)(f) UK GDPR on the basis of our legitimate interests in organising, administering and documenting the Event and furthering our charitable objectives. We will only use personal data for Event-related and relevant organisational purposes and will not share it with third parties except where required by law or necessary to deliver the Event. Where consent is relied upon for specific uses of images or recordings, you will be informed.

 8.3 Unless permitted, you must not take photos or videos of any visual material presented at the Event.

9.1 The parties will seek to resolve any dispute arising from these Terms amicably and in good faith. If unresolved within 30 working days, the dispute shall be referred to mediation under the CEDR Model Mediation Procedure (ADR), and any settlement reached will be final and binding. Nothing prevents either party from seeking interim relief from a court of competent jurisdiction in the event of a material or unremedied breach.

10.1 The validity, construction and performance of this agreement, and any contractual and non-contractual claims arising hereunder, shall be governed by English law and shall be subject to the exclusive jurisdiction of the English courts.
