About the role:
To manage and be responsible for facilities on site including Health and Safety (H&S); to be proactive in driving continual improvement activities.
To coordinate with cross site H&S teams ensuring consistency and best practices implemented consistently.
To manage the facilities team, and input into the budget cycle.
- Maintain all aspects of facilities to ensure offices are fit for purpose
- Facilities contract management. Liaise with third parties to ensure all LifeArc plant and equipment is serviced, maintained and functioning
- Management of facilities M&E (mechanical and electrical), office infrastructure, amenities, etc
- Point of contact for building in case of any issues and liaise with landlord for rent, parking, recycling etc
- Line management/delegation duty to Facilities Admin, as applicable
- Input into facilities budget
- Lead on upgrades and improvements to facilities
- Management of facilities schedule
- Communication to site on facilities
- Point of contact with LifeArc comms, HR, etc. for site related matters
- Delegated responsibility for site H&S
- Create H&S procedures and documentation
- Provide H&S induction, training and advise on best practice
- Management of fire safety measures
- Liaise with site facilities on H&S matters
- Perform safety inspections, investigate breaches or accidents
- Manage cleaning services
- Where applicable, liaise with landlord’s facilities management team on maintenance of common services. LifeArc point of contact for building related issues/emergencies
- Maintain diary for licence renewal, compliance returns and act when appropriate
- Contribute to budget setting and raise POs as appropriate
- Contribute to quality processes e.g., CAPA, Risk Management
- Line management of team: set and co-ordinate workflow, develop team member capabilities, set annual objectives etc
- Routine tasks at the core with short-term reactionary issues arising on an ad-hoc basis which may require specialist external support
- Works collaboratively with internal and external stakeholders to address any facility related challenges (for complex issues, the supervisor may be consulted on the chosen approach, but this is not expected)
- Efficient and effective workplace with issues resolved rapidly to minimise disruption
- Policies, procedures and risk assessments in place, updated and accessible to all staff
- Clear and accessible tracking of compliance to policies, procedures and risk assessments
- No, or minimal actions from safety audits
- Budgetary authority up to £10k
- Order equipment within the allocated budget
- Manages the service budget (different for each site) but does not set the budget
- In most cases, pre-existing service contracts are followed, and consumables are ordered from a catalogue
- Management of direct reports
Education and experience required:
- NEBOSH certificate (or equivalent) required
- Educated to Higher (or equivalent) with a further qualification in science desired
- Competent user of Microsoft required
- Able to deliver effective and engaging training and coaching
- Strong attention to detail and organisational skills
- Confident verbal and written communicator
- Displays analytical problem-solving skills
- Experience participating in a Health & Safety Committee desired
- A sound knowledge of legislation covering health and safety and compliance requirements in this area of work.
